Invisible Hand is looking for a freelance Project Manager for live events to join our rapidly growing agency. Our team’s mission is to use culture, the network effect, and live experiences to meet our client’s goals. Our client roster includes Spotify, PBS, Emerson Collective, Omidyar Network, Equality Federation, and many more.
You are a self-starter, motivated by learning, able to work quickly, and a creative problem solver with incredibly strong communication skills and a “passion for polish.” Candidates should be comfortable working in a startup environment.
What You’ll Do Day-to-Day
Organize and execute timelines, project plans and tracking systems across core functions of a live event (i.e. editorial, talent, production, etc.)
Participate in client and stakeholder meetings and take notes/recaps for easy reference across internal and external teams
Maintain tracking documents, including contact information, status, and blockers, etc.
Engage with vendors & production partners as needed, develop detailed briefing docs in collaboration with functional leads
Support team in adhering to timelines with hot lists, key decisions to be made, and when to make a call on a sticky issue
Engage with clients directly when needed and under the team’s guidance
Creating and maintaining job jackets for all projects
Assist in creating project budgets and tracking project spend
Management of IH documents, resources, and assets, including maintenance of Slack channels, the IH Shared drive, and Toggl projects
What We’re Looking For
4+ years’ experience working as a Project Coordinator or similar for live events
Strong, proactive communication skills
Exceptional organizational skills and attention to detail
Ability to build working relationships with core and cross-functional teams
Understanding of agency processes and experience creating decks, agendas, project plans, timelines, and workflows
Appetite for problem-solving and thrives in high-velocity, deadline-driven environments
Ability to closely track project performance and oversee the successful completion of short and long term milestones
Willingness to learn systems, tools and resources you don’t already know
Must be comfortable in a start-up environment with a willingness to move quickly and flex into opportunities
