Chief of Staff to the Founder & CEO (Remote, New York Preferred)

We’re looking for a Chief of Staff to the CEO to support the ambitious growth trajectory of our rapidly growing social impact and culture change agency. This is an exciting opportunity for a highly organized, analytical and flexible individual to serve as a thought and execution partner to the firm’s Founder & CEO, working in close concert with the Executive Assistant to the Founder and Managing Director. 


The Chief of Staff will be responsible for optimizing the CEO’s time and mindshare against day-to-day business and client priorities, working closely with the team and CEO to ensure execution of mission critical business items, and implementing new systems to increase the overall efficiency and effectiveness of the firm and our team as we continue to grow.

Responsibilities

CEO Support

  • Manage and track priorities, deliverables, and timelines to ensure the CEO’s time and mindshare are appropriately mapped to the Agency’s most critical and timely priorities.

  • Help manage the Assistant to the Founder to ensure their daily/weekly processes, time allocation and processes contribute to making the Founder & CEO as effective as possible.

  • Prepare the CEO for external events (e.g., speaking opportunities, press interviews, conference participation, key/VIP meetings), including making recommendations on events and conferences to attend, producing decks or materials for speaking opportunities, and tracking and executing follow up communications 

  • Attend meetings alongside the CEO, securing prep materials from the team and tracking and executing on follow-ups where appropriate.

  • Manage key internal and external CEO communications (e.g. newsletters, memos, proposals, VIP outreach and relationship management), writing and communicating on behalf of the CEO where necessary

  • Create and manage operational processes that enable the CEO to make better and faster decisions and increase overall efficiency and productivity

  • Creation of documents, decks, and other materials to support CEO special projects. 

  • Travel to and “staff” major events alongside the CEO to provide on-the-ground support and serve as a bridge between the team and the CEO to live manage urgent priorities


Agency Operations & Execution

  • Understand and track Agency and client priorities and goals, making recommendations for design and implementation of new processes, systems, or tools as needed

  • Collaborate with the leadership team on identification of critical team gaps or resources and hiring to fill those gaps, including screening, applicant intake, drafting of employee & freelancer contracts, and onboarding as needed

  • Help manage the Agency’s owned media platforms (website, Instagram, LinkedIn)


Business Development

  • Support agency business development efforts by attending meetings, preparing materials, writing proposals, conducting research, etc. 


Special Projects 

  • Take ownership of discrete client-facing or internal projects or priorities that are high priority and need a “special touch” or additional oversight to scope, sell, and execute 

  • Develop project plans and timelines for all special projects—making sure to keep track of progress and provide updates to CEO and other stakeholders along the way 

  • Staff and support major events that require additional manpower or boots on the ground from the IH team to successfully execute


People

  • Manage the Executive Assistant—providing mentorship and guidance on key priorities, best practices, and how to tackle different projects within the office of the CEO 

  • Manage contractors and vendors as necessary (e.g. as part of special projects)—ensuring deliverables are shared on-time and at a high standard 


Qualifications


  • At least 4 years’ experience in a Chief of Staff role

  • Experience building systems and processes to improve efficiency and effectiveness across individual teams and entire organizations 

  • Experience with strategic planning, organizational planning, systems & process design

  • Experience working in a startup environment and/or on small, fast-paced, and adaptive teams

  • A demonstrable ability to be assertive, multitask, and keep the COO or operations teams on-task

  • Ability to prioritize effectively and manage multiple workstreams in a fast-paced environment

  • An independent problem solver and who embraces holistic systems-thinking.

  • Extremely organized and detail oriented 

  • Excellent verbal and written communications skills with experience developing proposals, scopes of work, and external communications for executive leaders
